Performing Redaction

1. Open the PDF with the content you wish to redact.
2. Go to Edit > PDF Content>  Mark for Redaction or press SHIFT+R.
   • Alternatively, click Mark for Redaction on the Redaction toolbar.
3. A warning dialog box might appear. If it does, read the warning and click OK to proceed.
   • To prevent the warning from appearing in the future, select Do not show this warning again.
4. To redact text, click and drag over it. While dragging, selected text is highlighted in blue. When you release the mouse button, selected text is surrounded by a red box.
5. To redact an image, click and drag a rectangle around the desired area. You can redact all or part of an image this way. When you release the mouse button, the portion of the image to be redacted is surround by a red box.
6. To apply a redaction to all pages of a PDF, right-click it and select Apply to All Pages. The same area will be redacted on all pages of the PDF.
7. To set the appearance properties of a redaction, right-click it and select Properties. See Redaction Appearance Properties for more information. Each redaction has separate properties.
   • To apply multiple redactions with the same custom configuration, save a redaction to the Tool Chest.
8. Go to Edit > PDF Content >  Apply Redactions or press SHIFT+A. The Apply Redactions dialog box appears.

   • Alternatively, click Apply Redactions on the Redaction toolbar.

   

9. Select a page range to be included in the redaction process. By default, all pages of the PDF are included.

   All Pages: Sets the range to all pages.

   Current: Sets the range to the current page only. The current page number will appear in parentheses, for example, Current (2) if page 2 is the current page.

   • Custom: Sets the range to a custom value. When this option is selected the list becomes a text box. To enter a custom range:
     • Use a dash between page numbers to define those two pages and all pages in between.
     • Use a comma to define pages that are separated.

     For example: 1-3, 5, 9 will include pages 1, 2, 3, 5 and 9.

10. Select the desired Redaction Options, which allow you to remove additional document data and metadata.

11. To apply redaction filters, click Advanced. The Advanced Apply Redactions dialog box appears.

    

    Filters are used to redact only some types of data from the PDF while leaving others intact. For example: To redact text, but not the background image behind the text, leave Text checked and uncheck Image. Conversely, unchecking Text and leaving Image checked would remove the background image and leave the text. Use caution with filters because what appears as text in the PDF file may actually be vector data. These filters are always applied by default to ensure that data is not unintentionally left in the document. Click OK when you have set the desired filters.

12. Click OK.
13. To complete the redaction, save the PDF.

You can control how a redacted area will appear in the PDF after the redaction takes place on the Properties tab for the redaction annotation. This must be done before the Apply Redactions process is run.

To open the Properties tab for a redaction, right-click it and select  Properties. Alternatively, select the Properties tab then select the desired redaction markup. The Appearance options are described below.

Color: Defines the color of the outline of the Marked annotation. Redact Color: Defines the fill color used to indicate where information was removed after redaction is applied. Use Overlay Text: When selected, overlays text in the redacted area (usually to identify the reason for the redaction). The remaining, Overlay Text properties define the text that is overlayed: Custom Text: Defines custom overlay text. Enter the desired text in the corresponding field. Redaction Code: Uses predefined overlay text. Select the desired Set and corresponding Entries. Common DOD and Freedom of Information Act (FOIA) codes are included. Edit: Allows you to add new redaction codes. Autosize Text: When selected, Revu will determine the optimal font size to use for the overlay text. Repeat Text: When selected, the overlay text will be repeated to fill the redaction area. To manually define the text style, enter the desired Font, Font Size, Text Color, Alignment, and Font Style.

Redaction markups can be added to tool sets in the Tool Chest. By doing so, you can build a set of commonly used redaction settings. You might even want to create a specific tool set to organize them.

Once you have defined a redaction markup, right-click on the markup, then go to Add to Tool Chest and select the Tool Set to which you wish to save it. To use, click the tool and begin marking the PDF for redaction.
