Revu 2018

You’ve created a Set in Revu 2018 and a colleague has opened the Set in an earlier version of the software.  They notice that some options such as those for revision stacking or sheet sorting aren’t available, and the Set doesn’t look the same.

You’ve created a Set in Revu 2018.  The Set is then opened and saved in an earlier version of Revu.  When you open the Set again in Revu 2018, you find that certain features such as Tags are now missing.

Why does this happen?

This happens because the Set was created in a newer version of Revu using features that don’t exist in older versions of the software.

An example of this is the Categories feature, which was introduced in Revu 2015.0. If you create a Set with Categories in Revu 2015 or above and then open it in Revu 12.6 or below, the files won’t be organized according to their Set Categories (Architectural, Electrical, Structural, etc.) because that feature won’t be recognized.

Solutions and Best Practices

If there’s a possibility that a Set you’re creating in Revu 2018 may be opened in Revu 2015.6 or below, it’s important to know that it may not look the same due to certain options and settings not existing in older versions of Revu. This means you’ll need to either adjust or disable certain settings as described below.

Prior to creating a Set, you can disable these settings by:

  1. Opening the Sets panel (Alt+2) and clicking SetsNew Set,
  2. Click Options when the Set: New Set.bex dialog opens.

If the Set you wish to modify has already been created and you wish to modify it, open the Sets panel (Alt+2) and click the Modify Set  button.  When the Set: {set-name}.bex dialog opens, click Options.

Once the Set Options window appears, you’ll want to disable the following settings:

  1. Sort Tagged Sheets by Sheet Number – Since Tags are incompatible with Revu 2015.6 and below, remove the checkmark from this option.
  2. Stack Revisions by: Sheet Number, Revision Number – You’ll need to remove the checkmark from the Sort Tagged Sheets by Sheet Number option,  then select either File Name or Page Label from the dropdown menu in order for Set revisions to stack correctly.
  3. Categorize by: Sheet Number – This setting can be found in the Categories tab of the Set Options dialog, and you’ll need change it to Categorize by: File Name to categorize the sheets correctly.

Rebuilding Your Set Tags

If a Set is created in Revu 2016 or above and then opened in Revu 2015 or below, all Tag functionality will be disabled and the Edit Tags  icon will be grayed out.

Although the Tag information was removed from the Set (.bex) file when it was saved in the older software, the Tag data on the individual sheets is still intact. You can verify this by looking in the Tags section of the Properties (Alt+P) panel. You can restore the Tag information to the Set by rebuilding the Set:

To rebuild a Set in Revu 2018 that was saved in Revu 2015.6 or below:

  1. Open the Set in Revu 2018
  2. Click Modify Set  in the Sets toolbar. The Set: {set-name}.bex dialog will open.
  3. Click Options. This opens the Set Options dialog.
  4. Go to the Sorting tab and fill in the Sort Tagged Sheets by Sheet Number checkbox.
  5. Click the Tags tab.
  6. Fill in the Auto Tag: Revision Number per Sheet Number checkbox.
  7. Click Plus plus on the left side of the dialog.  The Tag Field Editor dialog box will display.
  8. Click the Default tab and select Sheet Name (Text) from the Tag drop-down menu, and then click OK.
  9. Click Sheet Name in the Tag Name list and click OK.  Use the blue triangle up to move it to the top of the list.
  10. Click OK. This takes you back to the Set: {set-name}.bex dialog.
  11. Click OK. You’ll be taken to the Add Tags dialog.  You’ll be prompted to reselect the page regions you created when you first built the Set.
  12. Click OK. Revu will scan the drawings and restore the tags. The Edit Tags  button is no longer grayed out in the Sets toolbar, and all Revisions will be stacked correctly.
  13. Save the Set.
This process doesn’t restore the page regions that were selected for Tags when the Set was originally built. However, you’ll be prompted to reselect them the first time you add new drawings to it.

Saving a Set with Categories when Using Revu 12.6 and Below

As we mentioned earlier, if you create a Set with Categories (introduced in Revu 2015) and then open it in Revu 12.6 and below, it won’t display as it does in newer versions of Revu because the Categories won’t be recognized.  Additionally, saving a Set with Categories using Revu 12.6 or below will overwrite any Category data in the Set (.bex) file.  These Categories would have to be recreated with Revu 2015 or above.
