A paid subscription to Org Admin Pro
allows you to manage access to Bluebeam on web and mobile, Bluebeam Studio, Smart Overlay, Smart Review, and Model Context Protocol (MCP) for everyone in your organization or to use permission groups to manage access for specified users in your organization.
Manage Bluebeam Studio access
As an IT Admin or a Studio Admin, you can manage Studio access for all users in your organization.
To manage Studio access for all users in your organization, follow these steps:

In your web browser, enter the Org Admin URL that
corresponds with your region: -
From the left sidebar menu, select Settings.

Under Product Access and next to Studio, select the displayed access choice.

In the Studio Access dialog, select one of the following:
-
Enabled – The default setting. All users in your organization will have access.
-
Managed – Only users who are members of permission groups will have access.
-
Disabled – No users in your organization will have access.
-

Select Save.
Manage Bluebeam on web and mobile access
As an IT Admin or a Studio Admin, you can manage Bluebeam on web and mobile access for all users in your organization.
To manage Bluebeam on web and mobile access for all users in your organization, follow these steps:

In your web browser, enter the Org Admin URL that
corresponds with your region: -
From the left sidebar menu, select Settings.

Under Product Access and next to Web & Mobile Apps, select the displayed access choice.

In the Web & Mobile App Access dialog, select one of the following:

Enabled – The default setting. All users in your organization will have access.
-
Managed – Only users who are members of permission groups will have access.
-
Disabled – No users in your organization will have access.
-

Select Save.
Manage access to Revu AI features
As an IT Admin or a Studio Admin, you can manage access for all users in your organization to AI features available with a Max subscription plan.
To manage access to AI features for all users in your organization, follow these steps:

In your web browser, enter the Org Admin URL that
corresponds with your region: -
From the left sidebar menu, select Settings.

Under Feature Access select the displayed access choice for Smart Review, Smart Overlay, or MCP.

In the Access dialog for the selected feature, select one of the following:
-
Enabled – The default setting. All users in your organization will have access.
-
Managed – Only users who are members of permission groups will have access.
-
Disabled – No users in your organization will have access.
-

Select Save.
Follow these steps for each feature for which you want to manage access.
Create and manage permission groups
If only some members of your organization require access to Studio, Bluebeam on web and mobile, Smart Overlay, Smart Review, or MCP, an IT Admin can use permission groups to manage access to those products and features for only those users.
Create permission groups
To create permission groups, log in to Org Admin and follow these steps:

From the left sidebar menu, select Users.

Select the Permission Groups tab, then select Create.

Enter a descriptive name for your permission group.
-
Specify group access permissions for Studio, Bluebeam on web and mobile, and AI features.
Manage Product Access Permissions
Select any of the following permissions to enable or disable access to the products:

Can use Studio
-
Can use Bluebeam on web and mobile
Manage Feature Access Permissions
Select any of the following permissions to enable or disable access to the AI features:

Can use Smart Review
-
Can use Smart Overlay
-
Can use MCP
-

To add users to the permission group who should have the specified permissions, do one of the following:
Add individual users

In the search field, enter the user's name or email.
To add multiple users, repeat the steps above.
Bulk add users
-
Select Upload CSV.
-
From the Upload CSV dialog, drag the CSV file or select Browse to select it from the File Explorer.

Select Upload.
-
If no errors occur, select Done.
If the upload encountered validation errors, a list of validation errors and the CSV file rows on which they occurred appears on the screen. Open the CSV file, correct the specified errors and save the file, then select Back to upload the CSV file again.

Select Create.
After you create permission groups, be sure you select the Managed access setting when configuring access to Studio, Bluebeam on web and mobile, and Max AI features. Permission group access won't take effect unless you select the Managed access setting.
Manage permission groups
To manage the permission group members and their permissions, follow these steps:

From the left sidebar menu, select Users.

Select the Permission Groups tab.
-
Under Permission Groups, select the permission group you want to manage.
-
In the Edit Permission Group dialog, make any of the following changes:
Make changes to group name and access
-
Change the name of the permission group.
-
Change Product Access Permissions to enable or disable access to Studio and/or Bluebeam on web and mobile.

Change Feature Access Permissions to enable to disable access to Smart Review, Smart Overlay, and/or MCP.
After you complete your changes, select Save.
Add or remove group members

Search for and add users to the permission group.
-
Select the
menu icon next to a user to remove them from the permission group.
When you add users to and/or remove users from a permission group, the changes are automatically saved. If the only changes you made in the dialog were to add users to and/or remove users from the permission group, select the X in the upper right of the dialog to close it.
The Cancel button won't undo user additions or removals. If you mistakenly added a user to the permission group, you must select the user and remove them. If you mistakenly removed a user from the permission group, you must search for and add that user again. -
Delete permission groups
To delete a permission group, follow these steps:

From the left sidebar menu, select Users.

Select the Permission Groups tab.

Under Permission Groups, select the permission group you want to manage.

In the Edit Permission Group dialog, select Delete.
