Work with bookmarks

Bookmarks can be created automatically using PDF page labels or the text contained within a defined a region of a PDF.

To automatically create bookmarks:

1. Go to Window > Panels >  Bookmarks or press ALT+B to open the Bookmarks panel.

2. Select Create Bookmarks.

   

3. Select one of the following options for generating bookmarks:
   • Page Labels: Creates bookmarks using the document's existing page label.

   • Page Region: Creates bookmarks using text within a defined region. To define the region:

     1. Select Select to replace the dialog with a crosshair cursor.

     2. Drag to define a region within the PDF.

        The data in this region should be located in the same place on each PDF. After you define the region, the AutoMark dialog appears.
        
        

     3. To add another region:
        1. Select Add to replace the dialog with a crosshair cursor.
        2. Drag to define another region, which is added to the Selection field in the AutoMark dialog.
        You may add as many regions as you need. Review the sample page label displayed under Preview. If desired, select the Selection field to add text before, after, or between [Regions].
     4. After you define all regions, select OK to close the AutoMark dialog and return to the previous dialog.
        AutoMark is most suitable for documents that are vector-based, are the same size and have the same registration. AutoMark might not work as expected if the pages are different sizes, if some of the pages are not searchable, or if the scans are not properly registered.

4. To select a Page Range, select the Pages menu and select from the following:

   • All Pages: Sets the range to all pages.
   • Current: Sets the range to the current page only. The current page number will appear in parentheses, for example, Current (2) if page 2 is the current page.
   • Selected: Sets the range to the current selection. This option only appears if pages were selected prior to invoking the command.
   • Custom: Sets the range to a custom value. When you select this option, replace any text left in the field with the page or pages to be printed directly. To enter a custom range:
     • Use a dash between page numbers to define those two pages and all pages in between.
     • Use a comma to define pages that are separated.

     For example: 1-3, 5, 9 will include pages 1, 2, 3, 5 and 9.

5. Select OK.

Action controls what happens when a bookmark is clicked. To define the action of a specific bookmark:

1. Go to Window > Panels >  Bookmarks or press ALT+B to open the Bookmarks panel.
2. Right-click the desired bookmark and select Action. The Action dialog appears.

   There are six actions that can be configured:

   Jump to Page: Moves to a specific page number in a selected PDF.

   1. Select the PDF from the Jump To dropdown menu. Only PDFs that are currently open in Revu will be available.
   2. Specify where in the PDF to jump to by entering a page number in the Page field.
   3. Set the zoom factor or scale of the page that is displayed by choosing the desired setting from the Scale dropdown menu. The pages can be set to display either in a Fit Page, Actual Size or Fit Width mode. Alternatively, the Inherit Zoom setting will display the page at whatever the current zoom setting is within Revu.

   Jump to Place: Moves to a predefined Place on a PDF. The location of a Place can be changed later without breaking the action.

   1. Select the PDF from the Jump To dropdown menu. Only PDFs that are currently open in Revu will be available.
   2. Select the Place from the Place dropdown menu. If the desired Place does not already exist, select Create to create one on the fly.

   Jump to Space: Moves to a predefined Space on a PDF. To set this action:

   1. Select the PDF from the Jump To dropdown menu. Only PDFs that are currently open in Revu will be available.
   2. Select the Space from the Space dropdown menu.
   If an Action is set to jump to a Space that is subsequently deleted, the Action will be automatically converted to Snapshot View, as described below.

   Snapshot View: Moves to a specific, zoomed in area of the current PDF. This option is useful for zooming into specific views of a region of a large format drawing, such as a particular elevation detail. Select Get Rectangle to define the area of the drawing to jump to.

   Hyperlink: Opens the URL entered in the Hyperlink field. The URL will open in a WebTab within Revu or in the device's default browser (as determined by the Open PDF Hyperlinks in WebTabs setting in WebTab Preferences).

   Open: Opens the file specified in the Open File field. Select to open a file browser.

   Use Relative Paths: Revu can store either a full or relative path to a file. When a full path is stored, the location of the file is defined from the drive it resides on. When a relative path is stored, it defines the location of the linked file relative to the current file. A full path is best when you plan to move the file storing the link but not the file being linked to, such as when the linked file resides on a network drive that is accessible to all users. A relative path is best when both files are liable to be moved, such as when you are archiving an entire project to CD or moving a project to another computer. On the Bookmarks panel toolbar, go to Bookmarks >  Audit Bookmarks to determine whether bookmarks are broken. A bookmark is considered broken if the Action points to a page that is no longer in the current PDF. It is a good idea to audit the bookmarks after PDF combine operations have been performed.

After the audit is complete, a dialog will appear and report how many broken bookmarks have been found.

Then a broken bookmark icon will appear to the left of a broken bookmark. Either delete the bookmark or change the Action to point to a valid page.

Bookmarks in one or more PDFs can be exported to a CSV or PDF file. These bookmark reports can contain just top-level bookmarks or all bookmarks and can be presented in different styles.

1. Go to Window > Panels >  Bookmarks or press ALT+B to open the Bookmarks panel.

2. On the Bookmarks panel toolbar, go to Bookmarks > Export Bookmarks.

3. The active PDF (if any) will be automatically added to the Current Pages list. To add more PDFs to the list, select one of the following options from the Add list:

   • Files: Adds individual files from a network or local drive. Selecting this option causes the Open dialog to appear. Navigate to the appropriate location and select the desired files.
   • Open Files: Adds all files currently open in Revu.
   • Open Set: Adds all files contained in the current Set.
   • Folder: Adds all files in a selected folder on a network or local drive, but not files contained in any of its subfolders. Selecting this option causes the Select Folder dialog to appear. Navigate to the desired folder and select it.
   • Folder and Subfolders: Adds all files in a selected folder on a network or local drive as well as all files within any of its subfolders. Selecting this option causes the Select Folder dialog to appear. Navigate to the desired folder and select it.
4. Select either a Tree or Index format. Selecting Tree will maintain the parent-child structure of the Bookmarks tab in the export file. Selecting Index will format the bookmarks in a single column in the export file.
5. To include all bookmarks in the export, select Include Nested Bookmarks. Otherwise, only top-level bookmarks will be included, leaving out any child-level bookmarks
6. Select a Format for the export file, either PDF or CSV. There are different save options available for each format type. Select Settings to edit them:
7. PDF Options

   • Create Hyperlinks: When enabled, the export file will include hyperlinks to the source pages.

     Bookmark exports generated from PDFs hosted in a Studio Session will not include hyperlinks.

   • Stamp Date and Stamp Time: When enabled, adds that information to the footer of the report.

   • Page Size and Orientation: Sets the page size and orientation of the report.
   CSV Options

   • Include Column Headers: When enabled, the export file includes automatically generated column headers.
8. Select the desired Save to option:
   • Source File folder: Place the export file in the same folder as the source file.
   • Custom Folder: Use this option to specify a local or network folder in which to save the export file.
9. Enter a suffix to append to the name of the export file in the Filename Suffix field, if desired.
10. To automatically overwrite any existing file with the same file name is present in the save location, select Overwrite Existing File.
11. To automatically open the report upon completion, select Open File After Creation.
12. Select Export.
