Studio FAQs
Below are a collection of procedures detailing how to accomplish some common goals in Studio.
You must be logged into the enterprise Studio account for which you wish to change the password. For cloud-based Studio accounts (such as studio.bluebeam.com), use the password recovery system to reset your password.
-
Go to Window > Panels >
Studio or press ALT+C to access the Studio panel.
- Go to Studio >Sign In and log into the desired Studio server. If you are already logged in, instead of Sign In you will see Signed in as. You can skip this step.
- Go to Studio > Signed in as > Manage Servers. The Studio Preferences opens to the Servers tab.
-
Select the Studio server for which you wish to change the password and select
. You must be currently logged into the account to change the password. - In the Edit Server dialog, select Change Password.
- In the Change Password dialog, enter your Current Password and the New Password.
- Reenter the new password in the Verify Password field and select OK.
For one of Bluebeam's cloud-based open servers (for example, studio.bluebeam.com), you can recover your password from the login screen. Select Forgot Password? on this screen to have recovery instructions sent to you.
For enterprise servers, the recovery function is available from the Studio Preferences:
- Go to Revu >
Preferences. -
Select Studio to view the Studio preferences.
- Select the desired server from the Primary Server menu and select Lost Password. An email message will be sent to the Login Email address with recovery instructions.
Studio files can be accessed even when a user is offline. Setting up an offline access PIN is an important part of protecting those documents. Once established, any user attempting to open a Studio file while offline from your device will need to enter the PIN first.
To set up an Offline Access PIN:
- Go to Revu >
Preferences. -
Select Studio to view the Studio preferences.
-
On the Servers tab, select Offline Access.
- In the Offline Access dialog, enter the desired PIN in the available boxes. PINs must be four digits.
- Select Set Up PIN.
How you change what Studio uses as your display name (not the username used to log in) depends on the type of Studio server that hosts the Studio account.
For Bluebeam's cloud-based server, log into studio.bluebeam.com to change your display name.
For in-house Studio servers, log into the Studio account then see Editing Existing Accounts.
Revu will only remember one Studio account for each Studio server. Using this procedure will clear the login credentials for the current account. You can use this same procedure to reenter these login credentials later, if needed.
-
Go to Window > Panels >
Studio or press ALT+C to access the Studio panel.
- Go to Studio > Sign Out. The current user is signed out of Studio.
- Go to Studio > Sign In.
- In the Bluebeam Studio login dialog, enter the email address of the account in the Email field.
- Enter the password of the account in the Password field.
- Select Sign In. Studio will log in using the new account settings.
- Go to Revu >
Preferences. -
Select Studio to view the Studio preferences.
- ClearEnable Flashing Effect on Session Alerts.
- Select OK.
If you receive an email invitation to a Session or Project that is on a Studio server other than the one you are currently connected to, Revu will switch servers for you automatically. You can also switch servers manually, if desired.
To switch servers manually:
This procedure assumes that you have already configured the Studio servers in question. If this is not the case, do that first.
-
Go to Window > Panels >
Studio or press ALT+C to access the Studio panel.
-
If you are not currently logged into Studio, select the desired server from the Studio > Sign In menu.
- If you are currently signed into Studio, go to Studio > Signed in as... and select the desired Studio server. You will be disconnected from it and connected to the selected server automatically.
You can set the order in which Studio servers appear in these lists to make it easier to find a desired server. See Managing Server Accounts.
To switch servers automatically:
- Open the email invitation you received and click the link to the Session or Project.
- If the Launch Application dialog appears, select Bluebeam Revu and select OK.
- A dialog will appear warning you that in order to switch servers, the connection to the current server must be shut down and any Session or Project currently open must be closed. If you need to finish up something in a Session or Project before continuing, select No and restart this procedure when you are ready. Otherwise, select Yes.
- The login dialog appears. If you already have an account on this server, enter login credentials and select OK. Otherwise, select the Create Account link and create a new account on this server.
- You are automatically switched over to the new server and the Session or Project is opened.
Studio can be configured to send you notifications for any or all of the Sessions or Projects you have joined. These notifications can be daily summaries or they can come as certain events take place within the Session or Project or a combination of both. Notifications are managed for each Project and Session separately.
-
Go to Window > Panels >
Studio or press ALT+C to access the Studio panel.
- Right-click the desired Session or Project and select Manage Notifications. A new WebTab to the Studio Enterprise portal will open in Revu.
- The Studio Enterprise Preferences page will show your current preferences. Select any of these options:
Project and Session-Specific Preferences: Enable notifications for this Project/Session turns on notifications for the Project or Session. Which notifications you will receive is determined by what is selected under Account Preferences as detailed below. If this option is not selected, you will not receive any notifications for the Project or Session, regardless of what is selected in Account Preferences.
Account Preferences: Select any or all of the available notifications that you would like to receive for the Project or Session. Each notification is sent independently.
- Send me a daily digest of all Studio activity will send one email at the end of the day, in digest format, summarizing all Studio activity for the day.
- Send me an email about markup alerts will send an email whenever a markup alert is directed at you (see Note below).
- Send me an email about updates to Sessions will send an email whenever an update is made to a Session you have joined (see Note below).
Send me an email about updates to Projects will send an email whenever an update is made to a Project you have joined (see Note below).
For the "event-based" notifications (that is, all but the daily digest), Studio will check for applicable events every 10 minutes and, if any are found, will collect them all in a single email. So, if 20 updates take place in a Session within 10 minutes, and you are set up to get notifications for that Session, one email with information about each of those updates will be sent to you rather than 20 separate emails.
- Select Apply.
When you send an alert to a Session Attendee concerning a markup, they will receive an email with a snapshot view of the selected markup and available, associated metadata. The snapshot is also a link into the Session and clicking it will not only take the recipient directly into the Session, but straight to the markup as well. You can send markup alerts for any markup, not just the ones you create yourself.
- Join the Session and locate the desired markup.
- Right-click the markup on the document or in the Markups list and go to Alert Attendee and select one of the following:
- If this is the first time you have sent an alert in this Session, the only option available is Choose. Select Choose and skip to the next step.
- If you have previously sent an alert in this Session, you can choose to send this alert to the same Attendee or Group by simply selecting them from the list. The alert is sent and no further action is required.
- If you have previously sent an alert in this Session, but you would like to send this alert to a different Attendee or Group, select Other and skip to the next step.
- On the Alert Attendee or Group dialog box, select the desired Attendee or Group and select OK.
- Only Session hosts can send alerts to Groups.
- When selecting a Group, an alert will be sent to all members of the Group automatically.
- Hold down CTRL or SHIFT to select multiple recipients.
Generally speaking, one Session attendee cannot alter another attendee's markups. This is an important security feature of Studio and, while the people in question are active attendees in the Session it remains true. When an attendee is removed from a Session, however, their markups can be transferred to another Session attendee, essentially making them the new owner of those markups and giving them editing rights. See Denying an Existing Attendee Access for more information.
