Use Task Link to assign work to field teams

Applies to:

  • Revu 21

Introduced in Revu 21.8, Task Link is an integration between Bluebeam and GoCanvas that allows you to use GoCanvas forms to assign tasks to your field teams directly from Revu markups. Use Task Link to centralize task management and manage field data in real time, all within Revu.

You must have a GoCanvas subscription for you and your field teams to use this integration.

Sign in to GoCanvas

To open Task Link, go to Windows > Panels > Task Link and select Sign In To GoCanvas. Follow the steps to authorize GoCanvas to use Revu.

Attach dispatches and submissions to markups

Create a dispatch

Dispatches are forms assigned to your teams to fill out. Assign dispatches directly from Revu markups using GoCanvas forms. Further information about form creation is available in GoCanvas documentation. To create a dispatch, follow these steps:

  1. Right-click a markup and select Task Link > Create Dispatch.
  2. Select the form you want to use.
Forms you've created in GoCanvas must have Dispatch enabled. To enable Dispatch, see the official GoCanvas documentation.
  3. Fill out the fields for the form. You must fill out at least one field to continue.
  4. Select Send.

After you send a dispatch, the assignees will receive a notification in GoCanvas to fill out the assigned forms.

Attach an existing dispatch

Once you've created a dispatch in Revu or if you have dispatches you've created in GoCanvas, you can attach that dispatch to additional markups. You aren't limited to markups within the same sheet. You can attach existing dispatches to any markup on any sheet. To attach an existing dispatch, follow these steps:

  1. Right-click a markup and select Task Link > Attach Existing Dispatch.
  2. Choose the dispatch you want to attach to the markup.
  3. Select Attach.

Attach an existing submission

A submission is a completed entry of a form. When your field team completes a dispatch, it becomes a submission. To attach a submission, follow these steps:

  1. Right-click a markup and select Task Link > Attach Existing Submission.
  2. Choose the submission you want to attach to the markup.
  3. Select Attach.

Track dispatches and submissions

Use the Task Link panel to view all dispatches and submissions linked to markups. You can search for dispatches and submissions as well as filter and sort them. The History tab shows all dispatches and submissions you've attached across all files. The Active Document tab only shows the dispatches and submissions of the file you have open.

As your team completes their tasks, you'll need to refresh the status of dispatches within Revu. Use the refresh button next to an individual task. Alternatively, use the refresh button in the GoCanvas Status column of the Markups List to update the statuses of all tasks in an active document.

You can also use the Markups List to view dispatches and submissions attached to your markups. On your main workspace, markups with dispatches and submissions have a GoCanvas icon.

Export your submissions

Task Link allows you to generate a PDF package of submissions contained in your documents. To generate a PDF package, follow these steps:

  1. Select Task Link > Export.
  2. Select Add to choose which files to export.
  3. Select the method of export:
    • Export only tasks contained in the documents selected into a PDF package
    • Export Bluebeam PDFs and associated task PDFs into a PDF package
    • Combine Bluebeam PDFs and associated task PDFs
  4. Choose a location to save your export.
  5. Enter a file name for your export.
  6. Select OK.
